Pre-migration Considerations

All departments have been migrated
Your online archive will automatically be moved into your main inbox inside a folder called "Legacy Folders". If there is email you are looking for from your Online Archive, it will be stored in the Legacy Folder. When you access the new system, all your emails from your archive and inbox will be available.

The Outlook rules, Signatures, and Out of office messages will not be migrated over to Office 365. If you would like to keep these specific items, please follow the steps below to migrate your data if needed.

If you use Outlook on a Mac, please contact the ITS Help Desk to assist you with migrating these resources.

Backing up your Outlook Signatures

  1. Log into your workstation and open up Outlook

  2. Compose a new message and then click on "Signature" within the ribbon menu. Select "Signatures..." from the drop down

  3. Select the Signature you wish to backup, Within the Edit Signature section, select your entire Signature and then copyit to your clipboard

  4. Log into ITS Mail at Once you are logged in click on the Settings icon in the top right corner and select Options from the dropdown

  5. On the left side of the screen, click on the section titled settings and paste your email signature in.

  6. Click save on the bottom of the page

Backing up your Out of Office Messages

  1. Log into your workstation and open up Outlook
  2. Click the File tab, and then click the Info tab in the menu
  3. Click on the Automatic Replies button
  4. Within the Automatic Replies dialog box, select the Send Automatic Replies check box
  5. Select your Out of office message and copy it to your clipboard 
  6. Log into ITS Mail at Once you are logged in click on the Settings icon in the top right corner and select Options from the dropdown
  7. On the right side of the screen, click on the link titled "Set up an automatic reply message"
  8. Within the automatic replies section, click on the "Send automatic replies" check box
  9. Paste your out of office messages to the appropriate sections and then click save.

Backing up your Outlook Rules (If necessary, not commonly used)

  1. Log into your workstation and open up Outlook
  2. In the ribbon menu, look for the option titled Rules and click on the drop down. Select "Manage Rules & Alerts"
  3. Within the Rules and Alerts window, click on Options
  4. Click on the Export Rules option and select a location to save the Rules file. Try to store this file in a safe place, you will need this file to restore your Outlook rules once your account is migrated.


Please remove any Echo email accounts you may have configured on your mobile device, this includes phones and tablets. We reccomend removing this account on the evening of your migration. Failure to remove this account will drain your battery due to the device constantly trying to connect to your echo account and failing.

Post-migration Considerations

Outlook will automatically configure itself. If this is not the case, please contact ITS Help Desk.

As a prerequisite to setting up your email on a mobile device, you will now need to download an additional application called the Intune Company Portal. Please follow both instruction sets for your device.


Make sure you remove any preexisting Echo email accounts before adding your connect account.
  1. Sign into your Echo email through the webmail interface at
  2. On the top right corner, click on the Settings button (Gear icon) and then go to Options -> Mail -> Automatic Processing -> Clutter 
  3. Uncheck Separate items identified as clutter and then click Save button.
Feel free to look around and explore using OneDrive, we would like to ask you to do not setup any formal processes with your department yet as the usage of onedrive may change in the near future.
  • Old Calendar reminders for past events will show up for a few days after the migration, they must be dismissed manually
  • Lag and delays of email in folders web versus email client. Everything is in the cloud, so there is some delay in email showing up everywhere, this is expected
  • If you Reply All to an email sent to your email address, your address will be included as a recipient. This is expected and will be addressed once the migration is complete 
  • Free/Busy data not set correctly during migration. Usually takes a few days to be fixed if there's an issue
  • Outlook's AutoComplete list will not be preserved during the migration
All departments have been migrated.
By default, Outlook downloads 12 months of email. This interval can be adjusted if you would like to receive all of your email within your Outlook Desktop client. If this setting is not changed, you will need to click on a "Click here to view more on Microsoft Exchange" to see your email.
